Privacy Policy

This Privacy Policy describes how Nomadic Studio ("we," "us," or "our") collects, uses, stores, and protects information when you use the MaintainMe mobile application ("App"). By downloading, installing, or using the App, you agree to the practices described in this policy.

1. Information We Collect

1.1 Information You Provide Directly

• Account information: email address and password (used for authentication only).
• Profile information: first name, last name, garage names.
• Machine/vehicle data: vehicle type, year, make, model, VIN, license plate, nickname, mileage/hours, fuel capacity, tire specifications, battery information, transmission fluid type, and other vehicle specifications you choose to enter.
• Maintenance task data: task names, service intervals, completion dates, cost estimates, and notes.
• Fuel log data: fill-up dates, gallons, cost, odometer readings, fuel type, and trip names.
• Expense records: dates, amounts, descriptions, and categories.
• Photos and images: stored locally on your device unless you explicitly send them to the AI chat feature.
• AI chat messages: text messages and optional image attachments sent through the AI maintenance assistant (Pro feature only).

1.2 Information Collected Automatically

• Device information: device type, operating system, platform.
• Usage data: screens viewed, features used, buttons tapped, and general interaction patterns.
• Crash and performance data: error messages, screen names where crashes occur, and app load times.
• Push notification tokens: device identifiers required to deliver push notifications you have opted into.

1.3 Information We Do NOT Collect

• We do not collect your precise GPS location.
• We do not access your contacts, calendar, or microphone.
• We do not collect financial information (all payments are processed by Apple App Store or Google Play Store).
• We do not track you across other apps or websites.

2. How We Use Your Information

We use your information to provide the maintenance tracking service, send maintenance reminders, power the AI maintenance assistant, generate vehicle owner's manual data, improve app quality and fix bugs, and detect and prevent abuse. We do not sell, rent, or trade your personal data to any third party.

3. AI-Powered Features and Data Processing

MaintainMe Pro includes an AI maintenance assistant powered by Anthropic's Claude language model. Your chat messages and relevant vehicle context are sent to our backend server hosted on Netlify, which forwards the data to Anthropic's API. We do not permanently store your AI conversation data. Conversations are processed in real time and not retained after the response is delivered. Anthropic does not use API inputs to train their models. See anthropic.com/privacy for details.

4. Third-Party Services

We use Firebase Authentication, Cloud Firestore, and Firebase Analytics (Google LLC) for authentication, database, and analytics. We use the Claude API (Anthropic PBC) for AI features, Netlify Functions for our serverless backend, Expo for push notifications, and Apple/Google for payment processing.

5. Data Storage and Security

Your data is stored in Google Cloud Firestore with encryption at rest and in transit. Firestore security rules ensure each user can only access their own data. Passwords are managed by Firebase Authentication and are never stored in plaintext.

6. Data Retention

• Active accounts: your data is retained as long as your account exists.
• Account deletion: when you delete your account, all data is permanently removed from our servers.
• AI conversations: not stored beyond the immediate request-response cycle.
• Analytics data: retained by Firebase for up to 14 months, then automatically deleted.

7. Your Rights

You may access, export, correct, or delete your data at any time within the App. EEA residents have additional GDPR rights. California residents have rights under CCPA/CPRA. To exercise any rights, contact us at [email protected]. We will respond within 30 days.

8. Children's Privacy

MaintainMe is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13.

9. Push Notifications

With your permission, we send push notifications for maintenance reminders only. You can disable notifications at any time. We will never send marketing or promotional push notifications.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by updating the "Last updated" date and, where appropriate, through an in-app notification.
